Conditions
1. Only participants who have received an official invitation letter by the National Partner of the Project.
2. Participants representing a National partner of the Project.

2. Flight ticket to and from Thessaloniki
1. In order to attend the Final Conference in Thessaloniki, a prepaid/electronic ticket will be provided by the Elliniki Etairia for the invited by the Conference Organizing and Scientific Committee participants.
2. The Local Coordinator of each National partner will provide the flying tickets for the invited or representing the Partner participants.
Kindly note that the following EC conditions must be respected:
The Elliniki Etairia, the Coordinator of the Project “Byzantium Early Islam” must receive the 2 boarding cards of the participant's flight ticket as follows:
1. The arrival boarding card, together with a photocopy of the ticket (or if available, the electronic ticket passenger receipt), should be given to the Conference Organizing Secretary at the arrival in Thessaloniki. These are the only travel documents accepted by the Commission in order to prove that the participant travelled with a ticket provided by Elliniki Etairia.
2. The return boarding card, together with the original ticket / the passenger receipt of the electronic ticket, must be sent by mail before March 15, 2008 at the Elliniki Etairia office in Thessaloniki at the following address:

NOTES:
1. Kindly remember to return to the ELLINIKI ETAIRIA the required flight documents before March 15, 2008.
2. In case of loss, the ELLINIKI ETAIRIA requires a declaration by the Airline Company specifying the date and flight number, together with the boarding card lost declaration.
3. At check-in, remember to request the “passenger receipt” of the electronic ticket.
4. If no flight documentation is provided, the EC will ask the participant to reimburse the ticket
How to get your flight ticket
1. The ELLINIKI ETAIRIA will send to the registered participant a travel plan proposal with a confirmation deadline.
2. The participant is asked to confirm the travel arrangement within the deadline indicated on the ELLINIKI ETAIRIA travel plan proposal.
3. The ELLINIKI ETAIRIA will send the participant a copy of the electronic ticket by e-mail or will provide them with a prepaid ticket to be collected at the airport or at the Airline Company agency (details will be given).
Please remember to verify:
• with your Airline company at least one week before your departure date, that all details sent by the ELLINIKI ETAIRIA concerning the trip are accurate (number of electronic/prepaid ticket, dates and time, departing and destination airports, etc)
• if you require a transit VISA (in case of a flight through a transit airport).
NOTES:
1. Electronic tickets are used as a regular paper ticket. This means that a print version of the ticket received by e-mail can be presented directly at the Airport check-in-desk (verify in advance the procedure followed by the Airline Company). In order to book the electronic ticket, kindly indicate your passport number on the registration form.
2. The ELLINIKI ETAIRIA travel plan proposal is made according to the EC rules and to the Final Conference budget allowance for the participants travel.
3. Once confirmed, the airline ticket cannot be changed.
4. If the airline ticket provided by the ELLINIKI ETAIRIA is not used, the participant will have to reimbursement the total cost.

3. Final Conference Venue and accommodation in Thessaloniki
The Final Conference will take place at the hotel Makedonia Palace.
MAKEDONIA PALACE

Thessaloniki, Greece
A single room for each participant will be booked at Makedonia Palace for 2 or 3 nights (arrival 23 departure 25 or 26 of February) and the cost will be covered by the ELLINIKI ETAIRIA (bed and breakfast).
Please note that all the hotel extras (bar, telephone, pay tv, extra services, internet, etc) will be at the participant's expense.

4. Transportation to the Final Conference Venue from the Thessaloniki Makedonia Airport
A shuttle service will transfer participants from the Airport to the Hotel on 23 February 2008.
Alternative possibility is the use of taxi from the Airport to the Hotel (Fare: around 10€).

5. Visa
Participants are asked to verify what kind of VISA is required for Greece. If necessary, the ELLINIKI ETAIRIA can provide an invitation statement in order to simplify VISA procedures.
Please note that this statement is reserved only for the registered participants at the Final Conference.
Please remember:
• that VISA expenses cannot be reimbursed by the ELLINIKI ETAIRIA;
• to verify if a transit VISA is required, in case of a flight through a transit airport

6. Visit
On Monday 25 February, after the Round Table will be a visit according to the Arrangements with the Direction of the Museum of Byzantine Culture.
More details, if necessary, will be given during the Final Conference.

7. Working lunches and dinners
On Saturday 23 February 2008, a welcome aperitif will be offered at the hotel from 19.00 to 20.00.
The ELLINIKI ETAIRIA will offer working lunches on Sunday and Monday at the Final Conference Venue at the hotel Makedonia Palace.
Moreover, 2 dinners will be offered on Sunday and Monday evening as follows:
1. Sunday: dinner from 20.00 to 22.30 at the Sea Food Restaurant of the Makedonia Palace hotel.
2. Monday: dinner at the Makedonia Palace hotel at 20.30.
NOTES:
Please inform the ELLINIKI ETAIRIA if you do not intend to attend any of these 2 dinners.
The ELLINIKI ETAIRIA will reimburse ONLY the expenses expressly mentioned above (flights, hotel accommodation, meals and coffee breaks).
All other expenses will be at the expense of the participant (Visa, taxi, other transports, hotel extras, bar, meals not foreseen, etc.).
